Summary of our Privacy Policy

AIEMS FCS & CEST L.L.C has never sold your information to someone else for advertising or made money by showing you other people’s ads, and we never will. Our mobile applications do not collect or store any personal information beyond what is necessary for user authentication. Only registered users may access the system through the app, and no usage tracking or behavioral data is collected.

1) Information We Collect
We only collect the information that we actually need. Some of that is information that you actively give us when you sign up for an account, register for an event, ask for customer support, or buy something from us. We store your name and contact information, but we don’t store credit card numbers (except with your permission and in one of our secure payment gateways). We only collect the minimum amount of information necessary to deliver our services effectively. There are two types of data we may gather:
a) Personal Information: Includes your name, email address, phone number, mailing address, and payment details provided during registration or transactions. We also retain the information you submit voluntarily through forms, customer support interactions, or event registrations.
b) Non-Personal Information: Automatically collected technical and usage data such as IP address, browser type, device information, and navigation patterns via first-party cookies. We do not use third-party cookies or tracking technologies for advertising or analytics.
Please note: Our mobile applications do not collect or store any personal or non-personal data. Only authenticated users may log in to access their accounts.
2) What We Do with Your Information
When you visit one of our websites or use our software, we automatically log some basic information like how you got to the site, where you navigated within it, and what features and settings you use. We do not sell, rent, or trade your personal information to third parties for marketing purposes. All data collection and processing is done strictly to:

Sometimes we receive information indirectly. We keep your personal information for as long as it is required for the purposes stated in this Privacy Policy. When we no longer have a legitimate need to process your information, we will delete, anonymize, or isolate your information, whichever is appropriate as per our policies.
3. Your rights with respect to information we hold about you as a controller

AIEMS FCS & CEST L.L.C complies with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL) and follows key data protection principles:
Lawful Basis for Processing: We collect and process your personal information based on either your explicit consent, contractual necessity, or legitimate business interests that do not override your privacy rights.
Data Retention: We retain your personal data only for as long as necessary to fulfill the purposes outlined in this Privacy Policy or as required by applicable laws. Typically, personal data is retained for six (6) months after your account is terminated unless extended due to legal or regulatory obligations.
Secure Data Deletion: After the retention period, your personal data will be permanently deleted using secure erasure methods. If legally required, certain data may be retained in anonymized or archived form.
User Rights: You have the right under UAE PDPL to:

2: Request correction or deletion of inaccurate or unnecessary data

5) Account Termination and Exit Policy
We respect your right to end your relationship with AIEMS and have designed a transparent and straightforward exit process.
Account Termination: You may request to terminate your account at any time by submitting a written request via email to support@aiems.care . Your request will be processed promptly, typically within 7 business days.
Data Retention and Deletion: After termination, your personal data will be retained for six (6) months to allow for potential reactivation or legal obligations. It will then be securely deleted unless required to be kept longer by UAE law.
Service Data: If you wish to retain your service data (CRM, HR, Payroll, Fleet records), you must request an export before termination or within the 6-month retention window. After this period, all data will be permanently deleted.
Refunds and Fees: Any unused subscription fees will be refunded in accordance with our Subscription Terms and Refund Policy, which aligns with UAE consumer protection laws. Please refer to our Terms of Service for full details.
6. Backup/Recovery
We provide automated backup services to ensure the integrity and availability of your data:
1) Standard Backup: A weekly full backup is performed by default, and the last three (3) weeks of backups are retained for recovery purposes.
2) Advanced Backup Options: For higher availability, customers may opt for:
i: Daily Incremental Backup – Additional charges apply; storage and pricing options are customizable.
ii: Real-Time Backup – Continuous backup solution to prevent data loss; pricing and storage plans available upon request.
3) Backup Access and Payment Conditions :
i: Users with outstanding balances or overdue payments may have restricted access to backup and export features until the account is brought up to date.
ii: Once payment is received, access will be restored immediately.
4) Data Ownership: Regardless of the backup plan, you retain full ownership of your data. Upon request, we will assist in exporting your data in a structured, commonly used format.
7) Software Features Upgrade
We provide major software feature upgrades once every six (6) months, unless otherwise communicated. Minor updates such as security patches and bug fixes may be released more frequently as needed to ensure system integrity and performance.
a) All updates are designed to enhance functionality without altering the scope of data collection or usage beyond what is outlined in this Privacy Policy.
b) Users will be notified in advance of major changes that may impact privacy or functionality.
c) Updates are typically applied automatically unless your organization has opted out of automatic updates.
8) Cookies
We use cookies to enhance your experience, monitor site usage, and improve services. You can manage your cookie preferences through your browser settings. We use first-party cookies to enhance your browsing experience, authenticate users, and improve our website functionality. These cookies are essential for core features like login sessions and language preferences.
a) We do not use third-party cookies or tracking technologies for advertising or behavioral analytics.
b) Our mobile applications do not use cookies or store session data outside of temporary authentication tokens.
c) You can manage or disable cookies via your browser settings. However, disabling cookies may affect certain features of our website.
9) Device Access Policy (Camera, Microphone, Photo access, Speaker)
Our mobile applications may request access to specific device features such as the camera, microphone, photo library, and speakers to enable certain functionalities. We only request access when necessary and never store or share any data without your explicit permission.
1. Camera Access
a) Usage: For video calls, document scanning, or image uploading within the app.
b) Data Storage: Images or videos taken will be stored only if you opt to save them within the app. Otherwise, they will remain on your device.
c) Consent: Camera access is optional and can be enabled/disabled via your device settings at any time.
2. Microphone Access
Our software may request microphone access for voice features such as audio recording, voice notes, or video conferencing.
a) Usage: For voice calls, audio messages, and voice commands.
b) Data Storage: Audio data is only stored or transmitted if part of a service, such as sending voice messages, and is not retained beyond the service’s purpose.
c) Consent: Microphone access can be managed in your device’s settings, and you can revoke it at any time.
3. Photo Access
We may request access to your device’s photo library to upload or share images within the software, such as for user profiles or attachments.
a) To upload images such as profile pictures, attachments, or shared media within the app.
b) Data Storage: Uploaded photos are securely stored on our servers solely for the intended use and are never shared with third parties without your consent.
c) Consent: You can enable/disable photo access through your device’s settings at any time.
4. Speaker Access
Our software may use your device’s speakers to play audio such as notifications, media content, or during video conferences.
a) Usage: For playing media content, voice calls, and notification sounds.
b) Data Storage: No data is stored or transmitted related to speaker use.
c) Consent: Speaker functionality is inherent to the use of audio features and can be managed by adjusting the volume or disabling sound in your device settings.
5. Data Security
Any data accessed through these permissions is handled with encryption and strict access controls. It is used only for the intended purpose and never for profiling, advertising, or third-party sharing without your explicit consent.
6. Changes to Device Access Policy
We may update this policy from time to time to reflect changes in our software or in compliance with regulatory standards. You will be notified of any significant changes and continued use of the software after updates constitutes acceptance of the revised policy.
10) Comments
When visitors leave comments on our website blogs or forums, we collect the data provided in the comment form (such as name, email, and message), along with your IP address and browser user-agent string for spam detection and moderation purposes.

To deliver our subscription-based services, including CRM, Finance, HR & Payroll, Fleet Management, and other modules. This includes setup, customization, technical support, and maintenance.

Marketing and Promotions:
With your explicit consent, we may send marketing communications, newsletters, or promotional offers about our products or those of trusted partners. You can opt-out at any time using the unsubscribe link in emails or by contacting us directly.
11) Cookies
We use cookies to enhance user experience, authenticate users, and improve service functionality. These cookies help us remember your preferences and keep your session secure.
Comment Cookies: If you leave a comment on our blog or website, you may choose to save your name, email address, and website in cookies. These cookies last for one year and are used only to make future comments easier for you.

12) Payments & Refunds
Payment Processing
When you purchase AIEMS subscription services, we may collect payment information such as credit card or bank account details. All payments are processed through secure payment gateways compliant with international standards like PCI DSS. We do not store full credit card numbers beyond what is necessary for recurring billing.
Refund Policy
We aim to deliver high-quality services and ensure customer satisfaction. If you are not satisfied with our services, please contact our support team at legal@aiems.ae. Refund requests are evaluated based on the UAE Consumer Protection Law and our internal policies.
AIEMS FCS & CEST L.L.C reserves the right to decline refund requests that do not meet our eligibility criteria, which are outlined in our [Terms of Service].
13) Payment Terms
13.1 Fees and Invoicing:
Fees for the Services will be invoiced upon execution of the applicable agreement, and annually in advance for renewals, or as additional services or licenses are added. All Fees are non-cancellable and non-refundable regardless of whether the Client uses the Services during the Term. If the Client has received a discounted Fee in connection with a multi-year commitment and fails to pay the Fee for subsequent years when they are due, AIEMS FCS & CEST L.L.C will invoice the Client the difference between the standard fee and the discounted fee paid for previous years.
13.2 Payment Methods: Client may pay invoices using the following methods: G-Pay, Apple Pay, Google Pay, credit card, bank transfer, or any other method agreed upon in writing by both parties. Payments made via these methods must be received within the agreed payment terms.
13.3 Payment Due Date: Unless otherwise agreed in writing, all payments will be due within thirty (30) days from the date of the invoice. Late payments may incur interest at the lesser of 1.5% per month or the maximum rate allowed by applicable law, from the due date until the date payment is received by AIEMS FCS & CEST L.L.C.
13.4 Disputed Charges: If Client disputes any portion of an invoice, Client must notify AIEMS FCS & CEST L.L.C in writing of the disputed amount and the reason for the dispute within fifteen (15) days of the invoice date. The client will pay the undisputed portion of the invoice by the due date. The parties will work in good faith to resolve the disputed charges promptly. Failure to notify AIEMS FCS & CEST L.L.C of a dispute within the specified period will be deemed acceptance of the charges.
13.5 Taxes: The client will be responsible for all applicable taxes, duties, and other governmental charges of any kind (including, but not limited to, value-added, sales, use, and withholding taxes) imposed by any federal, state, or local governmental entity on the transactions contemplated by this Agreement, excluding taxes based solely upon AIEMS FCS & CEST L.L.C’s income. If AIEMS FCS & CEST L.L.C is required to pay any such taxes, Client will reimburse AIEMS FCS & CEST L.L.C for such amounts promptly upon receipt of an invoice.
13.6 Suspension for Non-Payment: If Client fails to make any payments due hereunder within fifteen (15) days of the due date, AIEMS FCS & CEST L.L.C shall be entitled to stop all services and suspend Client’s access to AIEMS FCS & CEST L.L.C’s products without any liability or need to provide further notification. Access will be restored upon receipt of payment in full.
13.7 Termination for Non-Payment: AIEMS FCS & CEST L.L.C may terminate the Agreement or any rights created hereunder if Client fails to make any payments due hereunder within thirty (30) days of the due date. All amounts owed to AIEMS FCS & CEST L.L.C under the Agreement will become immediately due and payable upon termination.
14) Embedded content from other websites
Some articles on our website may contain embedded content such as videos, images, or articles from external sources. These behave exactly as if you had visited the original source website. We are using every credit for other websites as well as reference AIEMS FCS & CEST L.L.C is not intended to breach any of the person’s privacy.

15) Data Share Policy
We will not share your data with anyone unless with your permission according to UAE laws.
