The detailed policy follows the same structure as this summary and constitutes the actual legal document. We reserve the right to update this Privacy Policy as required by law or company practices. Changes will be communicated through the website, and you may be required to agree to new terms before continuing to use our services. By reading the policies you affirm that you have read, understood, and agree to be bound by the Terms and Conditions and Privacy Policy of AIEMS FCS & CEST L.L.C. This consent is legally binding and indicates your acceptance of all terms outlined. Subscription starts from the date of go live.

Our privacy commitment:

AIEMS FCS & CEST L.L.C has never sold your information to someone else for advertising or made money by showing you other people’s ads, and we never will. This policy tells you what information we collect from you, what we do with it, who can access it, and what you can do about it. At aiems, accessible from www.aiems.ae, we are dedicated to protecting your privacy and ensuring that your personal information is handled in compliance with the applicable laws in the United Arab Emirates (UAE). This Privacy Policy outlines how we collect, use, disclose, and protect your personal information when you use our services. By accessing or using our website, you agree to this Privacy Policy.

1. Information We Collect
We only collect the information that we actually need. Some of that is information that you actively give us when you sign up for an account, register for an event, ask for customer support, or buy something from us. We store your name and contact information, but we don’t store credit card numbers (except with your permission and in one of our secured payment gateways).
We collect both personal and non-personal information from you:
Personal Information: This includes your name, email, phone number, mailing address, payment details, and any other data you voluntarily provide to us.
Non-Personal Information: Data related to your browsing habits, IP addresses, and usage statistics through cookies or similar technologies.

2. What We Do with Your Information
When you visit one of our websites or use our software, we automatically log some basic information like how you got to the site, where you navigated within it, and what features and settings you use. We use this information to improve our websites and services and to drive new product development.
Sometimes we receive information indirectly. If you ask about our products through one of our referral programs or reselling partners, or sign in to one of our products through an authentication service provider like LinkedIn or Google, they’ll pass on your contact information to us. We’ll use that information to complete the request that you made. We keep your personal information for as long as it is required for the purposes stated in this Privacy Policy. When we no longer have a legitimate need to process your information, we will delete, anonymize, or isolate your information, whichever is appropriate as per our policies.

When no longer needed, we will delete or anonymize your data and store it securely until it can be safely deleted from backups.

4. Data Protection and Privacy Laws
In compliance with UAE Federal Decree-Law No. 45 of 2021 (Data Protection Law), we follow the following principles:
Consent: We obtain your explicit consent for the collection, processing, and storage of personal data during the signup process.
Data Retention: Personal data is only retained for as long as necessary to fulfill its original purpose. Our policy is to retain data for 6 months after the termination of your account unless required otherwise by law.
Data Deletion: After the retention period, your personal data will be securely erased unless needed for legal or regulatory reasons.
Data Access and Portability: You have the right to access your personal data and request the transfer of this data to another service provider.

5. Exit Policy
We respect your right to discontinue using our services, and our Exit Policy ensures that this process is seamless and transparent:
Termination Request: You may terminate your account at any time by contacting our support team. All termination requests must be made in writing via email.
Data Deletion: Upon termination of services, your personal data will be retained for 6 months in accordance with our Data Retention Policy, after which it will be securely deleted unless otherwise required by UAE law.
Access to Data: During the 6-month retention period, you can request a copy of your data before it is permanently deleted.
Refunds and Fees: Any remaining subscription fees or pending refunds will be handled in accordance with our refund policy that we are having as per UAE Law.

6. Backup/Recovery
Default standard backup once in a week. We will keep last 3-weeks (copies) in case of safety measure we will keep (3-weeks) backup.
Pay as you go, if there is any any overdue amount system will automatically block any data export/backup

  o Daily incremental backup (Price/Storage at customer choice)
  o Real time backup i.e not loose backup (Price/Storage at customer choice)

7. Software Features Upgrade
Default once in six months, then you can continue however any security patches and bug fixes will be released on a need basis.

8. Cookies
We use cookies to enhance your experience, monitor site usage, and improve services. You can manage your cookie preferences through your browser settings.

9. Device Access Policy (Camera, Microphone, Photo access, Speaker)
1. Camera Access
We may request access to your device’s camera for certain features such as video conferencing, capturing images, or scanning QR codes. We only access the camera when required for specific functionality, and no photos or videos are stored or shared without your explicit consent.
Usage: For video calls, document scanning, or image uploading within the app.
 Data Storage: Images or videos taken will be stored only if you opt to save them within the app. Otherwise, they will remain on your device.
 Consent: Camera access is optional and can be enabled/disabled via your device settings at any time.
2. Microphone Access
Our software may request microphone access for voice features such as audio recording, voice notes, or video conferencing.
   * Usage: For voice calls, audio messages, and voice commands.
   * Data Storage: Audio data is only stored or transmitted if part of a service, such as sending voice messages, and is not retained beyond the service’s purpose.
   * Consent: Microphone access can be managed in your device’s settings, and you can revoke it at any time.
3. Photo Access
We may request access to your device’s photo library to upload or share images within the software, such as for user profiles or attachments.
*  Usage: For uploading profile pictures, sharing media in messages, or storing documents.
*  Data Storage: Uploaded images will be securely stored on our servers only for the intended purposes and are never shared with third parties without your consent.
*  Consent: You can enable/disable photo access through your device’s settings at any time.
4. Speaker Access

Our software may use your device’s speakers to play audio such as notifications, media content, or during video conferences.
*  Usage: For playing media content, voice calls, and notification sounds.
• Data Storage: No data is stored or transmitted related to speaker use.
• Consent: Speaker functionality is inherent to the use of audio features and can be managed by adjusting the volume or disabling sound in your device settings.
5. Data Security
We prioritize the security of your personal data. Any data accessed through these device permissions is encrypted and handled according to our policy ensure it is only used for the intended purposes.
6. Changes to Device Access Policy
We may update this policy from time to time to reflect changes in our software or in compliance with regulatory standards. You will be notified of any significant changes, and continued use of the software after updates constitutes acceptance of the revised policy.

10. Comments
When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. We use the personal information we collect from our customers for the following purposes.
Providing Services:
We use the information to deliver our cloud-based ERP solutions and digital services tailored to your specific business needs. This includes software installation, configuration, customization, training, support, and ongoing maintenance.
Communication:
We may use your contact information to respond to your inquiries, provide updates about our services, and communicate important information related to your account or the services you have requested.
Marketing and Promotions:
With your consent, we may use your personal information to send you marketing communications, newsletters, and promotional offers about our products and services, or those of our trusted partners. You can opt out of receiving such communications at any time.

11. Cookies
If you leave a comment on our site you may opt-in to saving your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.


12. Payments & Refunds
Payment: When you purchase our ERP solutions or digital services, we may collect payment information, such as credit card details or bank account information, to process your transactions. We utilize secure payment gateways to ensure the confidentiality and integrity of your payment information. By providing your payment details, you authorize us to charge the specified amount for the services rendered.
Refunds: We strive to provide high-quality services and ensure customer satisfaction. In the event that you are not satisfied with our services, please contact our support team at legal@aiems.ae. Refund requests will be considered on UAE Consumer LAW Policy. AIEMS FCS & CEST L.L.C reserve the right to decline refund requests that do not meet our refund policy criteria.


13. Payment Terms
13.1 Fees and Invoicing: Fees for the Services will be invoiced upon execution of the applicable agreement, and annually in advance for renewals, or as additional services or licenses are added. All Fees are non-cancellable and non-refundable regardless of whether the Client uses the Services during the Term. If the Client has received a discounted Fee in connection with a multi-year commitment and fails to pay the Fee for subsequent years when they are due, AIEMS FCS & CEST L.L.C will invoice the Client the difference between the standard fee and the discounted fee paid for previous years.
13.2 Payment Methods: Client may pay invoices using the following methods: G-Pay, Apple Pay, Google Pay, credit card, bank transfer, or any other method agreed upon in writing by both parties. Payments made via these methods must be received within the agreed payment terms.
13.3 Payment Due Date: Unless otherwise agreed in writing, all payments will be due within thirty (30) days from the date of the invoice. Late payments may incur interest at the lesser of 1.5% per month or the maximum rate allowed by applicable law, from the due date until the date payment is received by AIEMS FCS & CEST L.L.C.
13.4 Disputed Charges: If Client disputes any portion of an invoice, Client must notify AIEMS FCS & CEST L.L.C in writing of the disputed amount and the reason for the dispute within fifteen (15) days of the invoice date. The client will pay the undisputed portion of the invoice by the due date. The parties will work in good faith to resolve the disputed charges promptly. Failure to notify AIEMS FCS & CEST L.L.C of a dispute within the specified period will be deemed acceptance of the charges.
13.5 Taxes: The client will be responsible for all applicable taxes, duties, and other governmental charges of any kind (including, but not limited to, value-added, sales, use, and withholding taxes) imposed by any federal, state, or local governmental entity on the transactions contemplated by this Agreement, excluding taxes based solely upon AIEMS FCS & CEST L.L.C’s income. If AIEMS FCS & CEST L.L.C is required to pay any such taxes, Client will reimburse AIEMS FCS & CEST L.L.C for such amounts promptly upon receipt of an invoice.
13.6 Suspension for Non-Payment: If Client fails to make any payments due hereunder within fifteen (15) days of the due date, AIEMS FCS & CEST L.L.C shall be entitled to stop all services and suspend Client’s access to AIEMS FCS & CEST L.L.C’s products without any liability or need to provide further notification. Access will be restored upon receipt of payment in full.
13.7 Termination for Non-Payment: AIEMS FCS & CEST L.L.C may terminate the Agreement or any rights created hereunder if Client fails to make any payments due hereunder within thirty (30) days of the due date. All amounts owed to AIEMS FCS & CEST L.L.C under the Agreement will become immediately due and payable upon termination.


14. Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. We are using every credit for other websites as well as reference AIEMS FCS & CEST L.L.C is not intended to breach any of the person’s privacy.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.


15. Who do we share client data with
We will not share your data with anyone unless with your permission according to UAE laws.
